St. Luke’s School seeks a knowledgeable, experienced professional to serve as its Payroll & A/P Specialist. Reporting to the Business Manager, in this year-round position you will join a thriving, forward-thinking learning community as an integral member of our Business Office Team, directing all payroll and accounts payable activities and functions to ensure accurate and timely processing. This includes, but is not limited to, administrative duties involving the development and maintenance of payroll systems, internal controls and records.

You will play a leading role in the setup, deployment, and implementation of this new platform and resulting processes, so a strategic systems thinker with a keen eye for detail will stand out in the successful candidate.
Primary Job Responsibilities:
Coordinate the day-to-day functions of the payroll, ensuring timely and accurate payroll policies and procedures are followed according to business office operations.
Serve as a source of information to faculty, staff and external contacts on established payroll policies and procedures.
Process, audit, and reconcile semi-monthly payroll for all W-2 employees and make all associated entries and adjustments.
Work with the school's payroll system provider in order to process the yearly 1094 & 1095c ACA filing.
Develop schedules and calendars for processing payrolls.
Keep informed on any changes to federal, state and/or local laws that impact the payroll operation and participate in planning and implementation of programs to effect these changes.
Perform routine and non-routine data retrieval, research, analysis, and reporting from payroll records as requested.
Reconcile insurance invoices against employee's payroll deductions in the system.
Process all court-ordered or tax levied wage garnishments and ensure timely payment thereof.
Work with Human Resources Manager to complete any relevant audits i.e. Workers Compensation Audit.
Complete manual and electronic payments by receiving, processing, verifying, and reconciling invoices.
Obtain approval of all invoices from appropriate personnel prior to release of payment.
Reconcile processed work by verifying entries and comparing system reports to balances.
Manage vendor database.
Prepare and review monthly open invoice reports.
Maintain electronic and paper invoice filing systems.
Prepare and process IRS Form 1099s for all independent contractors.
Assist with month end and year end closing.
Assist the Business Manager in carrying out the goals and objectives of the Business Office.
Perform other duties as required to assure the smooth operation of the payroll and accounts payable process.
Key Skills and Qualities:
Minimum 3-5 years experience related to accounting and payroll procedures
Associates degree required
Knowledge of laws and regulations pertaining to payroll function
Experience with UltiPro (UKG) system a plus
Experience with Blackbaud Financial Edge a plus
Knowledge of Microsoft Office required, Google Suite a plus
Strong interpersonal communications skills
Ability to work in a team environment
Ability to maintain payroll information with absolute confidentiality
