Reporting to the Associate Director of Finance, the primary responsibilities for the position include overseeing school’s tuition billing and collection and handling cash receipts. This person will also partner with another business office associate in the processing and management of accounts payable and purchasing. The Finance and Billing Associate will work closely with other business office and human resource personnel to support all other general business functions of the school as needed.
Student Billing / Accounts Receivable
Maintain and administer all aspects of student billing accounts with school’s third-party tuition payment company to ensure all accounts are reflected accurately.
Provide support to families during (re-)enrollment process and assist in answering questions on their accounts.
Process enrollment contracts for all students, reconciling student contracts and billing to admissions office records.
Follow up with families that are in arrears, monitor account aging, and serve as first line for collection of unpaid bills, with escalation to CFO as needed.
Support billing/payment logistics associated with ancillary programs and revenue-generating events, as needed.
Record non-tuition, additional charges and financial aid from various sources (after school program, summer programs, trips, etc.) into student billing system.
Attend Financial Aid Committee meetings.
Monitor receipt of financial aid applications and documentation.
Assist in review, determination and communication of financial aid awards.
Reconcile tuition receivable from tuition system to general ledger monthly.
Cash Receipts and Cash Monitoring
Process all incoming cash receipts and deposits, including annual fund and endowment receipts.
Prepare remote bank deposits and monitor and reconcile electronic payments
Monitor and provide weekly reports on the school’s bank accounts and cash balances.
Follow up on returned checks.
Maintain & monitor Petty Cash, including disbursements & replenishment.
Accounts Payable and Purchasing
Work with HR/AP Associate to assist in the accounts payable function from vendor setup to cash disbursement, including account coding and supervisory approval of all payment requests.
Analyze Accounts Payable vendor activity in preparation of 1099 distribution at year end.
Manage the corporate credit card program for over 25 employees.
Approve division and department purchases, as needed (Amazon, etc.).
Assist with purchase and approval of NYSTL book orders from the Board of Education.
Additional Business Office Responsibilities:
Monitor student and faculty trips and conferences, including credit cards for chaperones, petty cash and travel expense documentation and travel insurance for participants, as needed.
Other duties as assigned.
