Under general direction of the NMPCC Director, the Clinical Practice Manager is responsible for the daily operation of the clinic, including business objectives, performance and resource management. Specific responsibilities include staff management, training, billing and coding, medical provider credentialing, EHR implementation and maintenance, and policy/protocol interpretation/maintenance and adherence. Further, the Manager serves as the liaison to College and University personnel for financial budgets, training, analytics and performance improvement. Significant interaction with internal and external stakeholders and other parties relative to the further development of clinical practices. Other related responsibilities include coordination of multidisciplinary referrals and reporting on compliance with institutional access, productivity and quality of work standards.
Responsible for the overall compliant day-to-day operations of the clinic, including patient satisfaction, maintaining appropriate staff work flows, ensuring timely completion of billing and coding and other financial and data management.
In collaboration with the NMPCC Director, manages the clinic’s operational budget and meets with College financial team regularly. This includes, but is not limited to managing clinical expenditures and income. Is proactive in the identification of situations that may negatively impact the clinic budget and reports the situations in a timely manner to NMPCC Director and College Chief Business Officer.
Manages processing of contracts, requisitions, issuance of equipment, purchasing of medical supplies and inventory control.
Manages and reviews the clinics billing and coding practices of all clinical staff to ensure accuracy and compliance with regulations.
Directs the activities of the clinic to ensure daily real-time management of all operations. Also, develops, plans and implements short-term and long-term goals for the ongoing operation and management of the clinic.
With input from the NMPCC director and College HR team, maintains ultimate responsibility for recruitment, selection and hiring, discipline and performance management of all clinical staff (full-time and part-time personnel).
Responsible for appropriate staff scheduling, schedule adherence and initial and ongoing training and coaching necessary to meet NMPCC service level and quality standards.
Responsible for credentialing all medical providers of the clinic with insurance payers and monitor provider licensures are up to date
Responsible for the coordination, implementation and compliance of clinic policies, procedures and protocols. Conducts regular periodic review with the NMPCC Director and Director of Clinical Operations and Compliance.
Maintains a current knowledge of industry standards and regulations, as well as insurance rules and regulations that impact the clinic. Collaborates with NMPCC Director and Director of Clinical Operations and Compliance to disperse relevant information and ensure clinic is compliant with all industry regulations (HIPAA, Medicaid/Medicare, etc). Expected to stay well informed on changing industry standards and regulations.
Responsible for coordinating and conducting clinic quality audits to ensure service excellence and adherence to clinic policy and protocols.
Analyzes and interprets complex data from multiple sources and uses information obtained to create solutions to complex administrative/procedural issues.
In conjunction with $1$1Director of Clinical Operation and Compliance, develops and/or enhances training materials based on quality audit and monitoring data.
Adapts to changes in technology and software to ensure efficient office practice (i.e. EHR). Responsible for providing oversight and coordinating training activities to ensure all employees/physicians/students are proficient.
Manages all components of the clinics Electronic Health Record (EHR) which includes but is not limited to provider scheduling, patient scheduling, patient registration, and insurance/patient billing.
Manages, develops and analyzes both financial and clinical statistical reports from the EHR, as required by University policy, on a regular and as needed basis.
Coordinates activities, including inter-disciplinary referral management, with other College departments and entities.
Continuously monitors patient and clinic satisfaction with the clinic. Develops and implements initiatives to enhance customer satisfaction.
Initiates and maintains communication with College leadership concerning issues related to the clinic.
Establishes and maintains a critical yet collaborative relationship with internal and external clients.
Performs a broad range of highly confidential administrative duties requiring appropriate initiative and judgement.
Member of the NMPCC leadership team.
Assumes various other non-clinical staff responsibilities as needed within the clinic.
Performs miscellaneous job-related duties as assigned.
Bachelor’s degree and four years related experience, or equivalent combination of education and experience. Degree in Business, Health Administration, Health Science and Policy, or other related discipline preferred.
Experience in a primary care setting.
Medical Terminology coursework preferred
Comprehensive understanding of health insurance plans.
Medical Coding or ICD-10 Certification preferred. Experience with medical billing and coding guidelines.
Provider credentialing experience.
Ability in the use of technology for analysis and interpretation of data.
Strong interpersonal and effective oral and written communication skills.
Ability to function independently and to use sound judgment, initiative, and discretion.
Detail oriented; ability to think strategically, evaluate processes and identify areas for improvement.
Experience and knowledge about the set-up, maintenance, and management of an electronic medical records system highly preferred.
