The Adler Planetarium is seeking an Accounting Specialist to join our dynamic team located on Chicago's Museum Campus.
Reporting to the Accounting Manager, the Accounting Specialist provides financial and accounting support in the areas of accounts payable, payroll, and employee expense reporting. They are responsible for reviewing timesheets and processing the Adler’s bi-weekly payroll, which provides the opportunity to interact with team members across the organization.
This individual will also be responsible for:
Reviewing purchase orders and invoices for accuracy, approval, appropriate account coding, and conformity with Adler policies
Generating checks and electronic payments
Responding to all vendor inquiries and managing vendor relationships
Monitoring payroll controls to ensure compliance with internal and external requirements
Overseeing employee expense reporting, including corporate credit cards and employee reimbursements
Providing training and support to employees across the organization related to purchase order creation and expense reporting
Assisting with preparation for annual audit and filing of tax forms
Supporting the Accounting team on special projects and reports as needed
We are looking for someone who is an organized self-starter who takes initiative and enjoys solving problems and performing detail-oriented tasks. Someone who has excellent communication and interpersonal skills, and is comfortable supporting individuals from all levels of an organization. They are able to juggle several projects while maintaining accuracy and meeting deadlines. They are comfortable working independently, or collaborating with a team of tremendously talented people.
High school degree or equivalent plus additional training
One to three years of bookkeeping or related experience
Experience processing accounts payable transactions using accounting software
Previous experience working with outside payroll processing services
Experience with Microsoft Office, including Excel and Word, and GSuite
Demonstrated ability to maintain strictest confidentialities and highest ethical standards
Ability to communicate positively and professionally with internal and external parties
Bachelor's degree in Accounting or related field
Experience working with Sage Intacct
Prior experience working with ADP Workforce Now
