The Supplier Registration Coordinator will be responsible for the supplier registration process and maintenance of the Universityâ™s master supplier records as well as providing general support to Brown University departments and external suppliers. Position will assist manager with Workday Release Testing and Workday enhancement projects relating to Supplier Administration.
The Coordinator will set up new suppliers and individual payees and maintain existing suppliers in the Universityâ™s financial system. This process includes contacting suppliers and individuals to obtain any necessary information needed in order to set them up in the system in the appropriate manner. It also involves handling sensitive information such as social security numbers, employer tax identification numbers and banking information to set up electronic payments to suppliers and individuals. There are IRS and other reporting issues that rely on the accuracy of this information. (For example: supplier diversity, commodity type, local supplier, 1099 status, 1042-S status). The Coordinator will also supply training as needed.
Supporting actions include:
Identify supplier registration requests that look to be candidates for temporary employment and relay to Human Resources
Validate that potential suppliers are not on the Federal Governmentâ™s restricted party listing (Patriot Act compliance)
Validate 1099 status
Validate 1042-S status
Ensure that entities are properly categorized and coded
Keep supplier file clean; i.e. remove duplicates from the file, participate in cleanup efforts like supplier category changes
Manage supplier filing and electronic backup process
Perform routine maintenance to remove old export files from the web site for security purposes
Monitor supplier@brown account for questions and supplier update requests and manage special set up process for student prizes/fellowships with the Provost Service Center and other departments as needed.
Manage set ups to avoid backlog (suppliers must be set up in order to be paid)
Process supplier registration requests coming into Workday from partnering departments
Process supplier record changes after validating the change request
Participate in efforts to streamline supplier input and maintenance process (Workday; CIS); including Workday Release and Patch testing as needed
Associate degree or equivalent combination of education and experience
Critical reasoning skills
Ability to follow direction
Attention to detail is absolutely key in this position
Ability to work independently and follow up to complete tasks within the areas of responsibility
Basic competency using Microsoft Word and Excel
Ability to learn all aspects of Workday supplier management to be able to set up suppliers; understand the inter-relationship of supplier set up to other Workday Procurement functions and the Universityâ™s financial processes
Excellent communications skills. Must be comfortable communicating with all levels of personnel in University departments as well as suppliers and individual payees.
Time management skills
