Essential Job Duties:
The primary purpose of this position is to provide administrative support to ensure smooth, efficient and timely operations in the central Purchasing office. The position provides administrative and organizational support to multiple program areas within the Purchasing Department and Materials Management.
Duties and responsibilities include, but are not limited to:
- Assist Purchasing Agent to complete Request for Proposal (RFP) document in preparation for public advertising. - Post RFP to North Carolina's Interactive Purchasing System (IPS) and load RFP into NC State's electronic bid repository site. - Assist Agent in preparation for pre-bid meetings, provision meeting rooms, attend meetings and assist with tasks such as vendor sign-in/out sheets, answering basic information from attendees, etc. - Assists Contract Manager by receiving contract documents through various delivery methods. - Instruct campus customers on the use of the contract review web submittal form and answer basic contract review inquiries. - Collect, review and direct incoming contracts cover sheet and route to the appropriate purchasing agent for review and processing. - Research and reconcile supplier payment exceptions from campus e-procurement system. - Assist Sourcing Analyst with communication, documentation and records maintenance. - Assist with daily operations of the office including office supply inventory.
Generate, maintain and manage reports designed to provide analytical support to management team.
Provide assistance with special projects or assignments.
Provide support and assistance as needed for the operational aspects of MMD auxiliary programs, the electronic payment programs, Procurement and Contract programs to meet departmental and campus processing deadlines.
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
- Proficient with the use of Internet web based applications, MS Office Suite: Word, Excel, Access or similar software, Email and calendaring tools. - Experienced in the use of calendar tools that track. - Strong verbal and written communication skills to interact effectively with diverse campus and vendor based clientele. - Strong problem-solving, analytical, decision making skills with attention to detail and organizational processes. - Requires excellent time management skills and ability to multi-task in a fast paced, deadline driven environment.
- Knowledge of program policies, procedures and information systems in order to communicate and process information. - Experience that includes verifying data, generating reports, summarizing and reconciling information, records management, data collection, and analysis. - Experience in using the State of NC Interactive Purchasing System. - Experience with Adobe suite of software. - Experienced with the use of PeopleSoft Financials.
