Maintains online academic records for approximately 5,000 enrolled students annually. Provides essential support to records' counselors by advising students of both Federal and State privacy laws regarding academic records, transfers credit policies and records updates, as well as organization of the graduation ceremonies processional and diploma distribution procedures. Performs other duties as assigned.
Record Maintenance: 35% - Essential
Verifies students' degree coursework for approximately 5,000 students by editing student academic records. Validates and edits data on all student request forms prior to recording. Enters academic course record adjustments such as grade-changes and substitution coursework. Evaluates course substitution change requests and examines form for department approved signatures prior to recording of data in student database. Manages EXCEL database of academic dishonesty charges and properly removed application of academic redemption policy to affected courses.
Documentation and Student Advisement: 30% - Essential
Certifies documentation requirements for coursework approval for students receiving credit from a transfer institution and Advanced Placement. Advises students of institutional policy regarding all transfer credit and the recording of acceptable transfer credit to a student's academic record. Verifies and audits academic record summary updates that have been authorized to ensure both accuracy and completeness of data. Verifies recording of electronic transmission of AP scores to student academic records and removes duplicate credit.
Graduation Management: 25% - Essential
Manages the graduation ceremony rotation and preparation schedule of diplomas. Verifies both student financial indebtedness and student academic honors requirements prior to distribution at each of the graduation ceremonies. Sorts diplomas according to student requests and verifies degree information for graduates before re-ordering replacement diplomas. Collects electronic payments and reconciles daily deposits.
Document Management: 10% - Essential
Advises students and parents on the Family Educational Rights and Privacy Act (FERPA) of 1974 and limits access to educational records as required by federal law. Maintains student's permanent record files according to the retention schedule approved by the Commission of State Archives, in Banner Document Management. Manages digital student files for accurate scanning, indexing and easy document retrieval. Assists with special projects.
A high school diploma and work experience in collecting, scheduling, processing and reporting information in a data processing environment.
